Job Description

We are seeking a highly organized and creative Event Planner Coordinator to join our team. As an Event Planner Coordinator, you will be responsible for planning and executing a wide range of events, from corporate conferences and product launches to weddings and social gatherings. You will collaborate with clients, vendors, and team members to ensure the seamless execution of events and create memorable experiences for attendees.

Key Responsibilities:

Coordinate and manage all aspects of event planning and execution, including budgeting, logistics, vendor coordination, and on-site coordination. Conduct thorough research to identify suitable venues, vendors, and suppliers for each event. Collaborate closely with clients to understand their event objectives, preferences, and requirements. Create detailed event proposals, including timelines, budgets, and event layouts. Negotiate and secure contracts with venues, vendors, and suppliers. Develop and maintain relationships with vendors to ensure high-quality services and competitive pricing. Oversee event setup, including decor, signage, audiovisual equipment, and seating arrangements. Coordinate and manage event registration, ticketing, and guest lists. Liaise with speakers, performers, and sponsors to ensure their needs are met. Monitor event timelines and troubleshoot any issues that may arise during the event. Collaborate with the marketing team to promote events through various channels, including social media, email marketing, and online advertising. Conduct post-event evaluations to gather feedback and identify areas for improvement.

Key Activities:

Planning and coordinating various types of events, including conferences, seminars, trade shows, product launches, and corporate meetings. Managing event budgets, including cost estimation, expense tracking, and financial reporting. Liaising with vendors, suppliers, and event service providers to negotiate contracts, manage logistics, and ensure timely delivery of services. Developing event concepts, themes, and agendas, and creating detailed event timelines. Handling event registration and attendee management, including online registration systems and guest list management. Coordinating venue selection, setup, and logistics, including seating arrangements, audiovisual equipment, and catering services. Managing event marketing and promotion activities, including creating event collateral, coordinating with marketing teams, and utilizing various channels to reach the target audience. Overseeing event operations on-site, ensuring smooth execution, resolving issues, and managing event staff and volunteers. Conducting post-event evaluations, analyzing feedback, and making recommendations for future event improvements. Keeping up with industry trends, new event technologies, and best practices in event planning and management.

Key Skills and Qualifications:

    Bachelor's degree in Event Management, Hospitality, or a related field (or equivalent experience).
    Proven experience in event planning and coordination.
    Excellent organizational and project management skills.
    Strong attention to detail and ability to multitask.
    Outstanding communication and interpersonal skills.
    Creativity and the ability to think outside the box.
    Ability to work well under pressure and meet tight deadlines.
